Publishing & managing sequences
How to publish sequences, enrol contacts, manage the Leads tab, and control the lifecycle of running campaigns.
Publishing transforms your sequence from a configuration into an active campaign that sends messages, tracks engagement, and moves contacts through your outreach flow.
Draft vs. Published status
Draft:
- No messages are sent
- Can be freely edited
- Contacts cannot be enrolled
- Shows a "Draft" badge in the sequence list
Published:
- Actively sends messages on schedule
- Cannot be edited directly (protected from accidental changes)
- Accepts contact enrolments
- Generates analytics
Publishing a sequence
Step 1: Complete your sequence Ensure all steps are configured — senders selected, timing set, messages composed, conditions tested.
Step 2: Preview Use the Preview tab to review the complete flow, trace paths through different contact scenarios, and check for typos or broken merge tags.
Step 3: Review Settings Verify rate limits, timezone handling, send windows, and reply-stop behaviour.
Step 4: Publish Click Publish and confirm. The sequence status changes to Published immediately.
Modifying a published sequence
To edit a published sequence:
- Click Disable Sequence to pause all sends
- Edit the sequence
- Click Publish to republish
Contacts resume from where they paused. This prevents accidental changes that would break active campaigns.
Enrolling contacts
Method 1: From the Leads tab
Click the Leads tab in a Published sequence → Add Leads:
- Import from People Database — select contacts individually or filter by attributes
- Import from Pipeline — select entire pipeline segments
Method 2: Bulk action from CRM
- Go to People or Opportunities in the CRM
- Select multiple contacts using checkboxes
- Click Bulk Actions → Add to Sequence
- Choose the sequence and confirm
This is the fastest method for large groups.
Method 3: Automated via Workflows
Create workflows that automatically enrol contacts when conditions are met — for example, enrol every new lead in a follow-up sequence immediately when they're created.
Managing the Leads tab
Lead statuses
| Status | Meaning |
|---|---|
| Pending | Waiting for next step to send |
| In Progress | Currently in a step or waiting for a condition |
| Completed | Finished the full sequence |
| Paused | Manually paused |
| Stopped | Exited sequence (replied, unsubscribed, or removed) |
Click any contact's row to see their current step, messages sent, engagement metrics, and last action timestamp.
Removing contacts
Click Remove next to a contact to immediately stop their sequence. Use this when they unsubscribe, reply, or are no longer active prospects.
Pausing individual contacts
Click Pause to temporarily stop a contact at their current step. Resume later when needed.
Bulk actions on leads
Select multiple contacts → Bulk Actions to Remove, Pause, or Resume them simultaneously.
Monitoring execution
Executions tab: Real-time message sends and status. Use to debug failed sends and check delivery errors (invalid email, missing phone number).
Analytics tab: High-level performance funnel:
- Contacted — sent at least one message
- Opened — opened at least one message
- Interactions — clicked, replied, or engaged
- Answered — replied directly
- Interrupted — exited sequence
Filter by sender, channel, or date range to identify top-performing steps and bottlenecks.
Best practices
- Preview everything before publishing using the Preview tab
- Start with 10–50 contacts, monitor results, then scale up
- Check the Executions tab daily in the first week
- Archive completed sequences to keep your workspace clean
- Honor unsubscribes and opt-outs immediately
